Job Title: Supply and Logistics Assistant

Job Purpose

  • The Supply & Logistics Assistant supports the Supply & Logistics Officer in providing technical support in procurement, warehousing, and property management.
  • Key deliverables for this position include supporting general administration of logistics processes in terms of warehousing, documentation, and reporting of all procurement processes.
  • The Assistant will be exemplary in commitment to Oxfam core values, upholding principles, and policies.

Job Responsibilities
Technical:

  • Supports the Logistics Unit to carry out administrative tasks.
  • Follow quality service standards and comply with Oxfam’s procurement procedures and policies.
  • Supports Logistics Officer in the management of suppliers and updating of database.
  • Provide day to day update on procurement related issues.
  • Follow up and update asset database on regular basis.
  • To support logistics in sharing RFQ to potential service providers.
  • Updating of Logistics procurement tracker.
  • Contributes to team efforts by accomplishing related results as needed.
  • Carry out other Logistics responsibilities as delegated.
  • Ensure complete procurement documentations following receipt of goods and receipt of invoice with TIN (Tax Identification Number) of the supplier(s).
  • Implement and document Oxfam Novib standard procedures and practices of purchasing and promote accountability of resources.
  • Coordination and Management of diesel supply and reporting of minimum stock for replenishment.
  • Management of Stationaries store and provide stock level for replenishment.
  • Raising of requisition via EPO.
  • Compile a detailed Bid Analysis and submit to the Supply & Logistics Officer for review.
  • Prepares Purchase Orders (PO) for the successful bidder following approval of the bid analysis and makes sure that contracts, when needed, are properly signed, and filed.

Job Requirements
Education:

  • Minimum of B.Sc. Degree or Higher National Diploma
  • High level skills of Office Packages.
  • Excellent interpersonal and communication skills.
  • Good organising and documentation skills.
  • Able to work in a diverse team.

  • Ability to demonstrate sensitivity to cultural differences and gender issues, as well as the commitment to equal opportunities.
  • Fluent in both written and spoken English and one of the main local languages widely spoken in northern Nigeria.

  • Professional accreditation certification in supply chain management, warehousing, fleet management, logistics or facilities management.

Type of Appointment: Special Short Term (SST) 6 Months with Possibility of Extension

Context

  • The IOM Internship Programme provides candidates with the opportunity to learn about IOM’s activities, to gain initial work experience, and/or gain knowledge on a broad range of migration technical areas and disciplines.
  • Working under the overall supervision of the Senior Programme Assistant (IBM) and the direct supervision of the Programme Assistant (IBM). The interns will have the following duties and responsibilities:

Core Functions / Responsibilities

  • Assist in documentation and tracking of project purchase requests, purchase orders, contracts and expenditures, in liaison with IOM Nigeria Finance Unit, and assisting in preparation of final drafts for monthly funding requests for the project activities.
  • Assisting in the preparation of seminars, conferences, workshops, meetings, presentations and missions related to the project, and undertaking duty travel to support project activities when required.
  • Assist in researching, compiling and analysing information from professional sources on possible best options and approaches for information technology and data management options that respond to the needs of the projects.
  • Assist in contributing to donor reporting
  • Assist in collecting and providing necessary information and assists in organizing all aspects of the project, including preparations and support to special consultancies and to staff travel occurring in the project.
  • Provide general administrative assistance in timely implementation of project activities.
  • Provide support in ensuring proper documentation of project documents and filing.
  • Support visibility and communication activities related to the project.
  • Performing such other duties as may be assigned.

Educational Qualification

  • Degree from an accredited institution preferably in Social Sciences, Business Administration, Migration Studies, International Relations and/or Law or related field with not more than two years professional experience; or the equivalent combination of work experience in a related area.

Experience & Skills:

  • Experience in related field is advantageous

Languages:

  • Fluency in English is required (Oral and Written).
